How to set up an event vendor registration form for a one-day event
A one-day event runs on a short clock. You might have six weeks to find vendors for a school fair or a company picnic, at a venue with rules you didn’t write. A light registration form fits that timeline better than a juried application: vendors sign up for one date, pay once, and you get the details you need to plan the day.
Work backward from the event date
Short timelines are the norm for one-off events, so set your dates before you build anything. Pick a registration deadline about two weeks before the event, which leaves time to lay out spaces, send arrival details, and fill gaps if a category comes up short. Put the deadline, the event hours, and what the fee covers in the form description. Then share the link where your vendors already are: past vendor lists, local maker groups, school or company newsletters, and your Instagram. A form that takes five minutes on a phone fills faster than one that asks for a portfolio.
Plan arrival, parking, and load-out before vendors ask
The details hosts forget are the ones that cause trouble on the day. Arrival windows keep twenty vans from reaching the gate at once, so offer a few fixed times and ask vendors with tents or generators to pick the earliest one. Decide where vendors park after unloading, since the spots closest to the entrance usually belong to guests. Set a load-out time too, and say that nobody packs up before the event ends. Put all of it in an email to registered vendors a week out, with a site map and a phone number to call on the day.
Start with the venue’s rules
At a school, a hotel ballroom, a park, or a sports complex, the venue sets rules you have to pass along. Ask your contact for them in writing before you publish: whether open flames, generators, or amplified sound are allowed, what food needs a health permit, how tents must be weighted, and when the doors open for setup. Many venues also require vendors to carry liability insurance and name the venue as additional insured. Put the rules in the form description, and keep the agreement question required so every vendor confirms they’ve read them. Check local permit and food safety rules with your city or county too.
Keep pricing simple and decide on refunds early
A one-day event rarely needs complicated pricing. A flat registration fee with a price on each space type covers most events, and a charge on the Yes option for electricity keeps power requests honest. Vendors see their total and pay by card through Stripe when they register, and the money goes to your own Stripe account. Decide your refund policy before you share the link: many hosts give full refunds up to the registration deadline and none after, and some name a rain date instead. Refunds come from your Stripe dashboard. If the event raises money for a school or cause, say so, because vendors often sign up for that reason alone.
